We look forward to welcoming you to Belgrade as we celebrate 40 years of bringing the vascular community together to share knowledge, exchange ideas and advance vascular care. In the sections below, you’ll find all the practical information you need to prepare for your participation.

As a Session Chair, you are responsible for ensuring that the session runs smoothly, remains engaging and stays strictly on time.

  • Introduce the speakers and explain the session format and etiquette.
  • Keep the session strictly on schedule, as delays affect the entire programme. You will receive a session script specifying the exact duration of each presentation.
  • A comfort monitor and microphone will be available to help you manage the session. Please stop speakers who exceed their allocated time:
    • The timer will turn red when the presentation time is up.
    • After this point, the speaker’s microphone will be switched off and their slides removed. This policy is final and cannot be overruled by chairs or speakers.
  • Encourage participation and guide the Q&A and discussion.
  • Help us keep sessions dynamic! You are welcome to move around the room, engage directly with the audience and actively invite participants to contribute.
  • At the end of your session, thank the speakers and audience and introduce the session taking place next.

Uploading Presentations & Speaker Service Centre

Before the Annual Meeting, you will receive a personal upload link allowing you to:

  • View your presentation slot(s).
  • Upload your presentation file(s) in advance.

A Speaker Service Centre will be available at the venue throughout the Annual Meeting. Please visit the centre well before your presentation—preferably at least one hour before your session—to check that your slides display correctly and make any last-minute updates.

Dedicated workstations will be available for uploading, reviewing and checking presentations. All presentations shown in the session rooms will be managed through the Speaker Service Centre.

General Information

  • Please take a seat in the first rows of the room before your session begins so that you can quickly access the stage when invited.
  • The Session Chair will introduce you. Once introduced, please make your way onto the stage, take your position and begin your presentation.
  • In the main session rooms, no lectern will be available. You will use a headset or handheld microphone and a clicker to advance your slides.
  • Your slides will be visible on the comfort monitor in front of you. Please use this monitor instead of turning towards the main screen behind you.
  • We aim to create an informal and engaging environment that encourages discussion. Please position yourself close to the audience, use the catwalk where available and feel free to move around the stage.

Timing

  • A timer integrated into the comfort monitor will count down to zero, indicating the end of your allocated presentation time.
  • If you continue beyond your allocated time, the timer will display negative time and flash black and red.
  • Strict timekeeping is essential to ensure that every speaker receives equal exposure. If you exceed your allocated time by one minute, your microphone will be switched off and your slides removed from the screen.
  • This policy is final and cannot be overruled by chairs or speakers.

Fast-Track Presentation Format

Fast-Track presentations will consist of:

  • 4 minutes for the presentation.
  • 2 minutes for questions and discussion.

At the end of the day, the nine highest-rated presentations will be selected for the Fast-Track Prize Session on Wednesday. Selected presenters will be invited to deliver an extended version of their presentation:

  • 6 minutes for the presentation.
  • 3 minutes for questions and discussion.

During both the initial Fast-Track sessions and the Prize Session, presentations will be evaluated by a panel of expert jury members.

Following the Prize Session, three winners will be selected for the Annual Meeting Best Abstract Awards. The winners will be contacted directly by the ESVS Office.

Presentation Identification

Please include your unique presentation number on the title slide of your presentation so that the jury can identify and evaluate it easily. The reference number for Oral Fast-Track presentations begins with O-… It can be found on the public programme by clicking an individual session where you are presenting https://esvs2026.abstractserver.com/programme/#/programme/1/horizontal

  • A silent headset.
  • A microphone
  • A clicker to advance their slides.
  • A repeating preview screen/comfort monitor.

Timing

Strict timekeeping is essential. Please practise your presentation in advance and ensure that it fits within the allocated time. The jury will stop presenters who exceed their time to ensure fairness and keep the session on schedule.

Presentation Format

E-poster sessions will be held in the Silent Disco area. Each presentation will consist of:

  • 3 minutes for the presentation.
  • 3 minutes for questions and discussion.

Please keep strictly within your allocated time to ensure that the session remains on schedule and that all presenters receive equal exposure.

Poster Upload

The poster upload platform will open on 1 September 2026. On that date, you will receive a separate email containing:

  • A link to the poster upload platform.
  • The official poster template.
  • Your unique presentation number, which must be clearly displayed on your poster.

Please make sure that you use the official template and include your unique presentation number so that your poster can be easily identified.

Technical Set-Up

E-posters will be displayed on a 55-inch portrait touchscreen mounted on a stand. Posters must be prepared in a vertical 9:16 format.

The presentation area will be equipped with:

  • Silent Disco headsets.
  • A presentation timer.
  • Three wireless handheld microphones for the presenter and Session Chairs.

Best Poster Awards

All poster presentations will be scored to determine the three winners of the Annual Meeting Best Poster Awards. The results will be finalised on Thursday evening, and the winning authors will be contacted directly by the ESVS Office.

The EVST Case Presentation Session will take place on Tuesday, 6 October 2026, in the Silent Disco area.

  • 3 minutes for questions and discussion.

Please keep strictly within your allocated time to ensure that the session remains on schedule and that every presenter receives equal exposure.
