The European Venous Registry (EVeR) aims to facilitate responsible access to high-quality, real-world venous disease data for research and innovation.
Researchers may apply to use EVeR data for approved projects that are scientifically credible, ethically appropriate and capable of being delivered securely.
Access to EVeR data follows a staged application and review process. Submission of an application does not create an automatic right to access data.
Researchers should begin by exploring the available EVeR data, including the data dictionary, data coverage, quality information, existing publications and approved research projects.
Prospective applicants may also contact the EVeR Team to discuss the feasibility of a research idea before applying. This discussion is optional.
The application process
1. Explore EVeR Data
Review available variables, quality information and existing research to determine whether EVeR may be suitable for your project.
2. Discuss Your Project (optional)
Contact the EVeR Registry Team to discuss feasibility, available data and potential overlap with existing projects.
3. Submit an Expression of Interest (EOI)
Submit a concise EOI describing your research question, objectives, proposed population and broad data requirements.
4. Scientific Review
The EVeR Steering Committee reviews the EOI for scientific merit, originality, feasibility, methodology and expected clinical or scientific benefit.
5. Submit a Full Data Access Request Application
Applicants invited to proceed submit a detailed Data Access Request Form (DARF) together with the required supporting documents.
6. Steering Committee Review
The EVeR Data Access Committee reviews governance, ethics, privacy, security, data minimisation, institutional accountability and the proposed access arrangements.
7. Data Sharing Agreement
Following approval, all required conditions must be completed and the applicable Data Sharing Agreement signed before data access can begin.
8. Secure Data Provision
Approved data are made available using the access method considered appropriate for the project and level of risk.
9. Project Monitoring
Researchers must comply with the approved project conditions, provide progress information where required and seek approval before making material changes.
10. Publication & Project Closure
Research outputs must follow EVeR publication and authorship requirements. At the end of the project, access is terminated and data must be deleted or archived in accordance with the approved arrangements.
EVeR operates a staged and auditable process for research access to registry data. Applications are assessed separately for scientific merit and for data-access and governance requirements.
Who can apply?
Applicants should be bona fide researchers affiliated with an institution able to take responsibility for the research and enter into the required agreements.
Appropriately supervised trainees may also apply, provided that a suitably qualified Principal Investigator takes responsibility for the project.
Applications may be considered from clinical, academic, public-sector, commercial, industry-funded and international researchers, subject to the applicable eligibility and governance requirements.
Fees may apply for researchers not participating in the registry.
What types of research are permitted?
Proposed research must:
- have a clear and scientifically credible purpose
- be compatible with EVeR’s objectives and participant and centre expectations
- use only the data necessary to answer the approved research question
- meet applicable ethical, legal, privacy and security requirement
- be capable of being conducted within an approved data-access environment
Prohibited uses
EVeR data must not be used for:
- attempted re-identification
- unauthorised linkage
- unauthorised onward sharing
- sale or licensing of row-level data
- discriminatory or unlawful profiling
- individual decisions about care, employment, insurance or eligibility
- unapproved clinician or centre league tables
- use beyond the approved project
- unapproved cloud, software or AI services

The Expression of Interest is the first formal step in requesting access to EVeR data.
The EOI enables the EVeR Research Committee to assess whether the proposed research is scientifically appropriate and potentially feasible using EVeR data before the applicant prepares a full Data Access Application.
Do not include patient-level information in the EOI.
What happens after submission?
The Registry Team checks the application for completeness before scientific review.
The EVeR Research Committee then considers factors including:
- clinical and scientific relevance
- originality and overlap with existing projects;
- feasibility using EVeR data
- appropriateness of the proposed methods;
- capability of the research team
- expected public, clinical or scientific benefit
A successful EOI is an invitation to proceed to the full application stage. It is not approval to access EVeR data.
All outputs arising from approved use of EVeR data must comply with the EVeR Publication and Authorship Policies.
What outputs are covered?
The publication requirements apply to:
- journal manuscripts
- abstracts
- posters
- conference presentations
- reports
- preprints
- theses
- press releases
- websites
- dashboards
- social-media communications
- other public disclosures based on EVeR data
Publication requirements
Researchers should:
- report methods, limitations, missingness and data provenance transparently
- use the required EVeR acknowledgement;
- cite designated EVeR methodology publications where applicable
- disclose funding, conflicts and relevant industry involvement;
- avoid unapproved centre-, clinician- or country-level comparisons
- protect against small-cell and disclosure risks
- follow the EVeR Authorship Policy
- notify EVeR of planned outputs in accordance with the applicable publication process.
EVeR review is intended to address scientific accuracy, consistency with the approved project, confidentiality, disclosure risk and compliance.
Authorship
EVeR follows recognised authorship principles.
Authorship should reflect genuine intellectual contribution. Data provision, funding, seniority, supervision or committee membership alone does not automatically qualify someone for authorship.
Contributors who do not meet authorship criteria should be recognised appropriately through contributorship statements or acknowledgements.
AI systems cannot be listed as authors.
No approved EVeR research data are released until the required Data Sharing Agreement and all applicable pre-release conditions have been completed.
The Data Sharing Agreement defines the conditions under which EVeR data may be accessed and used.
The agreement may cover:
- the approved project and research purpose
- the approved dataset
- named authorised users
- approved institutions and locations
- security requirements
- permitted analyses
- prohibited uses
- data retention
- deletion or approved archiving
- publication requirements
- incident reporting
- international transfers where applicable
- monitoring and audit
- project closure
- applicable fees or contractual conditions.
Researchers may use EVeR data only for the approved project and only within the approved environment.
Important restrictions
Unless specifically approved, researchers must not:
- share data with additional users
- transfer the data to another institution
- upload EVeR data to personal devices
- use unapproved cloud or AI services
- perform additional linkage
- use the data for a different research question
- retain the data beyond the approved project period
Material changes require prior written approval.
