Registration for the ESVS 39^th Annual Meeting

In 2025 ESVS Annual Meeting offers in-person registration only. 

In-person registration 

Registration fees for the in-person meeting, which will take place in Istanbul, Türkiye, are as follows:

* To register as a member, please purchase the ESVS membership.

** The Trainee fee applies to individuals who are still in their training period and have not yet passed the FEBVS or any other examination.

*** The Medical Student registration category is only applicable to medical students. PhD students must register under the Trainee category.

Trainee non-member, Nurse non-member, and Medical Student registration categories are subject to status verification. Acceptable verification includes a letter from your Head of Department, a work pass copy, or a copy of your student ID card (for medical students).

Presenting authors of accepted abstracts and accepted presenters in other eligible sessions will receive a €100 discount on conference registration fees. This discount applies to all registration categories except Medical Student and cannot be combined with other discounts. The discount code field is only applicable to selected abstract presenters and presenters in other eligible sessions. If you qualify for a discount code, the ESVS office will notify you and provide the code after the presentation confirmation deadline on June 10th.

Note:  ESVS is closely monitoring the situation in Istanbul and will implement all necessary measures to ensure a safe and secure environment for our Annual Meeting. The safety of our delegates is our top priority.

Registration for on-site workshops: Workshop tickets can be purchased as from 4th of June. Workshop tickets start from €40

Social events:

Welcome Reception :  Join our welcome reception on the 24^th of September at 18:00 directly at the conference venue.

Networking Dinner : Join us for an unforgettable evening at Biz İstanbul on 25 September 2025, from 19:00 to 00:30! Limited number of tickets available. Enjoy a vibrant night of networking in a stunning venue with a breathtaking view over the Bosphorus — the perfect backdrop for connecting, celebrating, and unwinding. Tickets are €85 and include a full buffet dinner and drinks served until 23:00, followed by exclusive access to the lively post-dinner party. After 23:00, a cash bar will be available for those willing to purchase refreshments. Please note: A limited number of tickets are available — early booking is strongly recommended.

Terms and Conditions

Event Cancellation & Refund Policy

Cancellation by participant

Please note that notification of registration cancellation must be sent by email to esvs@congressbydesign.com. 

• For cancellations received up to and including 23 July 2025, a cancellation fee of 25% will be charged.
• For cancellations received on and after 24 July 2025, no refund will be given, the full amount is required.
• Name changes are not accepted, unless the participant is from the same company. A handling fee of EUR 40 per registration will be charged for every modification received after 23 July 2025.
• All refunds will be processed after the Annual Meeting. 

Cancellation by the ESVS

If the ESVS Annual Meeting is cancelled due to force majeure, ESVS will make every effort to refund as much of the registration fee as possible, taking into account non-recoverable organisational costs including but not limited to administrative fee.

Force Majeure Definition

If the ESVS Annual Meeting cannot take place in whole or in part due to circumstances beyond the reasonable control of ESVS, including but not limited to:

• Natural disasters (earthquakes, floods, hurricanes, etc.)
• Public health emergencies, pandemics, or epidemics
• War, acts of terrorism, riots, or civil unrest
• Government-imposed travel restrictions, lockdowns, or venue closures
• Strikes or labor disputes affecting essential services
• Adverse weather conditions that make the event unfeasible

The ESVS reserves the right to cancel its Annual Meeting. In such a case, ESVS will inform attendees immediately. ESVS shall not be held liable for any costs or damages incurred by participants, including travel, accommodation, or other indirect expenses.

No Further Claims

Apart from the reimbursement of registration fees as outlined above, participants shall not be entitled to any further claims or compensation due to the cancellation, modification, or postponement of the event.

Modification of Programme & Format

ESVS reserves the right to modify the format, schedule, or programme of the Annual Meeting as necessary. A change in format does not entitle participants to a refund.

Liability Disclaimer

ESVS takes all reasonable care in making arrangements for the Annual Meeting but shall not be responsible for any injury, illness, property damage, or other losses sustained by participants due to circumstances beyond its control.

EACCME Accreditation 

ESVS will apply for accreditation with the European Accreditation Council for Continuing Medical Education (EACCME). EACCME has recognition agreements with USA and Canada for ECMEC conversion.

General Terms

Participants are advised that photographs and video recordings will be taken during the ESVS 39^th Annual Meeting 2025. By participating in the congress and entering the Congress and social event venues of the ESVS 39^th Annual Meeting 2025, you consent to the publication, release, exhibition and reproduction of such materials to be used by ESVS and the suppliers of the ESVS 39^th Annual Meeting 2025.

The ESVS 39^th Annual Meeting 2025 offers the possibility for approved press/media representatives to register for the meeting free of charge. Journalists/media representatives are invited to make a press agreement request by sending an email to madina@esvs.org. Approved press/media representatives will be required to provide either their press credentials (press ID card, no business card) or a letter of assignment from the editorial office of their news organisation and will be requested to sign and follow a written press agreement.

ESVS reserves the right to deny press registration to anybody it considers not to meet these criteria. Please note the number of available press registrations is limited.
